2. Details of Employment
The details and terms of your employment are in your contract, the terms below are additional terms and conditions which are a precedent of employment.
Security
A deposit is required for a security disc to access the Business Park and the Premises. This deposit will be deducted from your first payroll and refunded when the disk is returned and you leave employment.
Headsets
Where required, a pair of Headsets will be issued to each employee. If your headset is broken, lost or stolen you will be responsible to replace the same brand and model at its replacement cost. The lesser cost (to the Company) of such repair or replacement will be deducted from your salary.
Behaviour
Call Centre Agents must ensure that at no stage is time logged to a chargeable Campaign or Activity whilst on Personal Break Time. Personal Break Time includes, but is not limited to: bathroom, smoke, food & drink breaks.
Call Centre Agents are not allowed to eat or drink whilst on the floor and on calls with 3iSolutions. Should you wish to have water on your desk, only a water bottle with a lid will be allowed. Should you wish to have coffee on your desk, only a sealable coffee mug may be used.
Smoking is not prohibited inside the building; however you may smoke outside during designated tea/lunch breaks.
Cell phones are to be switched to SILENT at all times during working hours.
Employees must not be in possession of, or partake of any liquor or controlled substances while on the Company premises or during working hours without specific permission of the Team Leader/Manager.
Employees must not be in possession of any dangerous weapon or firearm on company premises without the specific permission of their Manager.
Unwelcome behaviour of a sexual nature and/or abusive language towards a fellow employee or line manager is not permitted on the company’s premises. Such behaviour will result in disciplinary action in terms of the disciplinary code and procedures of 3iSolutions.
Behaviour within the office:
- No Employee is allowed to perform any of the following without PRIOR Management authorisation;
- Remove a headset from a PC/PI
- Tampering with ANY company equipment
- Charge a Cellphone at a workstation
- No person shall be:
- 1 Under or ontop of a desk at any time; or
- 2 In any area not required for the performance of your duties; other than areas designated for break or bathroom purposes
Please note that all PC’s are electronically monitored and ALL areas are covered by CCTV.
Behaviour within the business park:
- Professional manner – You shall act in a professional manner and shall at all times be considerate of the professional tone within the Business Park
- Noise levels – Noise levels will be kept to a minimum, i.e. there should be no shouting or loud talking/laughing in any of the common areas
- Eating – You should eat at the restaurants, or on-site, but not elsewhere within the park
- Balcony – You are not allowed to throw anything (including and especially cigarette butts) over the balcony
- Lifts – there should be no over-crowding in the lifts and at no time should there be more than 8 people in the lift at any time
- Smoking areas – there are dedicated areas for smoking within the Business Park. No employee should smoke ANYWHERE other than in these areas. Please ask your manager or a Director if you are not familiar with these areas. Failure to comply with this requirement may make you liable to a fine by the Business Park.
Parking
Free parking is available outside the Business Park at all times.
Under the terms of a special arrangement with the Business Park, free parking is available within the Business Park during the specified times below:
- Monday – Friday: provided you enter the park after 6pm and exit before 7am.
- Weekends & SA Public Holidays
Should you enter before these entry times or leave after these exit times, you will be charged in full and an administrative charge may be made for each such entry.
Canteen Facilities
3iSolutions staff members are welcome to utilise kitchen facilities or the balcony when not otherwise in use. This includes free tea and coffee and popcorn or other snacks where provided.
Hours of Work
Your working hours will be discussed and agreed with you in conjunction with your Team leader/Manager. 3iSolutions may require you to work overtime from time to time and you hereby consent to working overtime, provided that such overtime is authorised by your Team Leader/Manager. Authorised overtime will only be paid or compensated by granting time off in respect of completed hours in excess of 45 hours per week, unless the overtime provisions in the Basic Conditions of Employment Act (BCEA) as amended do not apply.
Where you are required to work on public holidays or Sundays, you hereby consent to do so at the most preferable rate to the company in accordance with the BCEA.
Salary
Details of the employee’s salary and other benefits shall be a private matter between the employee and 3iSolutions and disciplinary action will result if discussed with fellow staff. For salary administration purposes, the employee shall be required to open a Bank account.
Incentives will be made available from time to time according to the specific campaign.
Dress Code
The employee shall be required to maintain an appropriate standard of business dress and appearance at all times and maintain a high standard of personal hygiene.
Charter of employment
- The employee shall at all times conduct himself/herself in a manner so as to ensure that the good name and reputation of 3iSolutions is not adversely affected and shall carry out all duties in a proper and diligent manner and in the utmost good faith.
- Furthermore, the conduct, disposition and attitude of the employee shall at all times comply in all respects with the 3iSolutions charter of employment of consistently fair, equal opportunity practices the rights and dignity of all the client’s stakeholders regardless of race, religion, culture or gender.
Outside Activities
The employee shall not be engaged in work for remuneration at another other business without specific written approval of a Director.
Information and Secrecy
- The employee shall observe the utmost secrecy and confidentiality both during and after employment with the employer in respect of all matters relating directly/indirectly to the transactions, business and/or affairs of 3iSolutions, its staff members and clients and shall not divulge to any unauthorised person any facts or information concerning such transactions, business and/or affairs.
- Unauthorised and deliberate access to and/or use of information by the employee for whatever reason, may render the employee subject to disciplinary action in terms of the disciplinary code and procedures of 3iSolutions.
- Employees are required to report to their Manager any conduct by customers and fellow employees, which could prejudice the Company or lead to any loss being suffered by the Company.
No Claims
3iSolutions shall not be responsible for, and you shall not have any claim against 3iSolutions for any injury, loss, damage or inconvenience that may have been suffered by yourself by any act, neglect or default by 3iSolutions or any other employee of 3iSolutions.
Removal of Documents
The removal of any confidential records, documents or information from the premises without requisite authorisation may render the employee subject to disciplinary action in terms of the disciplinary code and procedures of 3iSolutions.
Press and Public Statements
The Board of Directors shall issue all press statements on behalf of the company and the employee shall not make any statement(s) intended for public knowledge on behalf of 3iSolutions, unless duly authorised thereto by the Board of Directors. The employee shall not address any outside function/ seminar on any work related issues, unless duly authorised thereto by the appropriate authority of 3iSolutions.
Absence
- As an Employee, if you are prevented from coming to work because you are ill or for some other justifiable reason you must notify your Team Leader/Manager to inform them. You should keep your Team Leader/Manager regularly informed of your progress and when you are likely to return to work. Only voice telephonic message notification to their work landline number is deemed a valid notification.
- You must notify your Team Leader/Manager no later than 1 hour before you are due to start work. This will ensure that he/she can make the necessary arrangements to cover your duties. It is not acceptable to leave a message with another member of staff. You should tell them the reason for your absence and when you are likely to return to work. You should also make a note of the time of your call and the person you spoke to.
- If you are working shifts and swap your shift with another employee you will remain responsible should the person you swapped the shift with not appear for work. Unless you notify the company of this arrangement at least 1 week prior to the date of the swap, this will be considered AWOL and you will be liable to disciplinary action.
- If you are absent from work for any reason for more than two days and have failed to follow the Company absence reporting procedures the Company reserves the right to take disciplinary action.
- Employees must not be absent from their workplace for any period of time during working hours, for any reason, without the prior permission of their Team Leader/Manager.
- If you are absent for more than two days you will have to provide a Doctor’s Certificate.
- If you are absent immediately before or after annual leave, Public Holidays or before or after a weekend you will be required to provide a Doctor’s Certificate to verify the nature of your illness.
- If you do not comply with the conditions set out above you will not be paid sick pay and you may be subject to disciplinary action.
- If your absence continues long term or you are persistently absent from work we may require medical opinion on your ability to continue in employment with the Company or in a particular job. In these circumstances you will be asked to attend an appointment with a medical practitioner. It is a condition of your employment that you attend any appointment organised for you by the Company.
Guidelines for Progressive Disciplinary Action
Discipline will be taken progressively in each category of offence and depending on the circumstances of each case such action will not necessarily be confined to a specific offence. Furthermore, the deviations as listed or as described in the “Standard” category constitute, where relevant or applicable, the same or similar offences. The offences or deviations encompass examples of behaviour within each category that constitute deviations from the norm.
